Office Manager (full-time position)

 

Under the supervision of the Administration and Finance Director, you will be required to:

  • Process mail and communications daily;
  • Assist the team with administrative work for EOS and for the projects EOS is involved in;
  • Booking of travel and accommodation for the team when necessary;
  • Organise meetings for members and EU-funded projects EOS is involved in;
  • Manage EOS membership and liaise with members on administrative and financial matters;
  • Regular financial follow-up and reporting;
  • Update of distribution lists and contacts data base, with support from WG and project managers;
  • Insure a proper and timely follow-up of the office logistic/purchase needs;
  • Provide secretarial and logistic support to a membership-based association EOS is currently working with.

 

Qualifications / Requirements:

  • Have at least 3 years of experience in a similar position, preferably in a membership-based organisation;
  • Excellent interpersonal skills and attention to details are required;
  • Familiarity with office organization and optimisation procedures;
  • Effective communication and organisational skills;
  • Quick, clear and concise drafting and reporting skills;
  • Ability to concisely deliver financial reports is highly desired;
  • Proactive, flexible, and a self-starter is essential;
  • Track record of event management is required;
  • Good understanding of the European institutions and their functioning is highly desired;
  • Ability to multitask and work under strict deadlines;
  • Strong sense of confidentiality and discretion;
  • IT-skills: Advanced use of MS Office (Outlook, Word, Power Point and Excel), previous experience in editing websites;
  • Excellent English and French verbal & written communication skills.

Project Officer (Brussels based)

 

The successful candidate will be required to:

  • Coordinate and contribute to EOS’ European funded projects related to security;
  • Set up project consortia and, when necessary, contribute to proposal-writing for calls launched by the European Commission or EU Agencies for specific studies or EU-funded research and innovation projects;
  • Lead the reflection of relevant EOS Working Groups towards the definition of new EU-funded project topics related to security technologies, to be proposed to the European Commission or EU Agencies for their future Work Programmes;
  • Contribute to the support and implementation of policies emerging from the European Institutions and their agencies.

 

Please consider that such list is non-exhaustive; the successful candidate might me requested to take on other tasks depending on the needs of the company.

 

Qualifications

Essential:

  • At least 1-2 years of experience of EU-funded projects (H2020 among others) and proposal-writing;
  • Strong knowledge of European Institutions’ mechanisms and European funding schemes;
  • Quick, clear and concise drafting and reporting skills;
  • Proactive, flexible, and capable to work in a team as well as individually in a multicultural environment;
  • Excellent English oral & written communication skills;
  • Good Communication and presentation skills;
  • Strong administration and organization skills;
  • Strong analytical and multi-tasking skills;
  • Quick-learner, enthusiastic and efficient;

 

Advantageous:

  • Experience related to handling sensitive information / research;
  • Experience in research, policy and/or business relationships with EU bodies of minimum 1 year;
  • Knowledge and management of EU-funded project’s budget;
  • Good understanding of European policies in the field of security;
  • Ability to network and build relationships with external organisations;
  • Very good knowledge of the MS Office package and visual tools;
  • A professional knowledge of French and the ability to work in other European languages.
